Overview
Doyle Transit uses this website and the Doyle Transit Operations Portal to manage hauling, dispatch, time tracking, billing preparation, equipment, and related business operations. This policy explains the basic information we collect and how we use it.
Information We Collect
We may collect contact details submitted through website forms, employee login information, dispatch assignments, time clock records, GPS punch status when permitted by the user's device, equipment records, customer/job records, load or ticket numbers, billing information, and audit history related to changes inside the portal. If financial integrations are connected, we may collect business financial records needed for internal operations, such as invoice status, receivables summaries, account names, account balances, and recent bank transactions.
How We Use Information
Information is used to respond to quote requests, dispatch work, track employee time, review pay, prepare billing records, maintain equipment visibility, connect with business systems such as QuickBooks Online, Motive, Plaid, and payroll exports, and keep business records accurate. Financial data is used for internal business visibility, cash flow monitoring, receivables review, bill and payroll planning, and owner/admin decision support.
Sharing Information
We do not sell personal information. We may share information with service providers used to run the business, including hosting, database, authentication, payroll, accounting, fleet management, email, or support tools. We may also disclose information when required by law or to protect the business, employees, customers, or equipment.
QuickBooks Online Connection
If QuickBooks Online is connected, Doyle Transit uses the connection to access accounting data needed for customers, products/services, invoice preparation, and related billing workflows. Access tokens are handled server-side and are not intentionally exposed in browser code.
Plaid Bank Connection
If a bank account is connected through Plaid, Doyle Transit uses the connection for read-only internal CFO cash visibility, including account names, balances, and recent transactions. Doyle Transit does not use Plaid for payments, transfers, ACH, lending, underwriting, employment, insurance, housing, or consumer eligibility decisions. Plaid access tokens are handled server-side and are not intentionally exposed in browser code.
Retention and Deletion
We keep business, operational, and financial records only as long as needed for business operations, legal obligations, accounting, payroll, safety, auditability, and internal reporting. Sandbox and test financial data may be marked separately and deleted apart from production records. If a financial connection is disconnected, related access credentials should be removed or revoked, while retained business history is limited to what is needed for legitimate business records.
Data Security
We use reasonable administrative and technical safeguards for the size and nature of our business. No system is guaranteed to be completely secure, but we work to limit access to business records to appropriate users and systems.
